Enrolments, Bookings, Cancellations and Subsidies
Why do I need to enrol my child?
All children attending Kelly Club before- and after-school care must have a complete enrolment form (either online or a form sent to Kelly Club). Kelly Club are unable to provide care for those who have not registered as it is a legal requirement that we have all current information about yourself (primary carer) and of your child/children.
All parents must complete an enrolment form prior to booking their child into Kelly Club. This is a legal requirement. It is simple to enrol your child, just search your local Kelly Club, click the “Learn More” button, and click the ‘Enrol Now’ button on the bottom of the page.
Where do I book in my child?
Booking is easy. Once your child is enrolled, you will be contacted by the Kelly Club Coordinator for your school, who will provide you with information on logging into the Xplor Home booking system to book in your child.
What can I see in the Xplor Home App?
Xplor Home includes information on your account, bookings, any incidents or reports, photos, observations for your child, Child Care Subsidy (CCS) % and how to sign in and sign out your child. More information on Xplor Home can be found on the Xplor website:

How do I claim the child care subsidy?
Outside school hours care attracts Child Care Subsidy for parents / guardians who have an active Child Care Subsidy Claim. This means you can get up to 90% of your sessional fees covered by Services Australia (Centrelink). The Child Care Subsidy rates increased on 10 July 2023. A subsidy is available for households with a combined income of up to $530,000. Claims are made through the my.Gov portal, for more information visit

Additional Child Care Subsidy may also be available depending on your situation including if you are a grandparent with custody of your grandchild, transitioning to work or if you are experiencing temporary financial hardship.
What happens if I am running late to collect my child?
Parents who collect their children after the closing times will be charged $1 per minute late fee. If you have extenuating circumstances, please contact the coordinator immediately. We will work in partnership with families at all times.
To avoid a charge, cancel bookings 24 hours prior to your booking. To edit bookings for the same or next day after these cut-off times, please call or text the venue phone.
Will I still get charged if I cancel?
We understand that life can be busy and things change. This is why you only pay for the care you use. If you cancel before the cut off times, you won’t be charged.
Personal Privacy and Medical Information
Will my child's image be on Social Media?
Not without your consent. When you enrol, we ask for consent to take photos of your child at Kelly Club so we can share them in different applications, social media and put photos up at our venue. We take care to ensure photos are only used in accordance with your consent. You can choose whether we can take photos of your child by updating this information in Xplore Home.
What if my child has a medical or behavioural condition?
As part of the enrolment form or once you become aware of a medical or behavioural condition you must let Kelly Club know at the school. You will need to provide us with an action plan from your doctor, a risk minimisation form which we can provide to you depending on the condition, and if medication is required, then a Medication Consent Form is required to ensure your child gets the right dosage at the right times. Please also keep important information about your child, (allergies and behavioural or medical needs, etc.) updated through your profile on Xplor Home.
Can anyone come and collect my child?
Kelly Club will only release your child into the care of the custodial parent or authorised persons identified on your child’s enrolment form (including siblings 16 years of age and over). Any changes to these authorities must be advised in writing to Kelly Club as soon as possible. If an unauthorised person arrives to collect your child, the child will not be released until your authorisation (in writing) has been obtained. You must ensure your child’s collection from the centre is reliably organised, as uncertainties and irregularities can cause anxiety for your child and Kelly Club staff. Please indicate on enrolment forms should there be a custody issue or Court Order in place. Please provide the Coordinator with as much information as possible, verbal and written, relating to the safe collection of your child/children.
Do you provide afternoon tea?
Snacks form a significant part of Kelly Club’s routine. Please make sure that any food allergies, strong dislikes and special dietary requirements your child might have are recorded on the enrolment form and discussed with the Coordinator. An action plan MUST be completed by parents should a child be subject to severe allergic reactions. Kelly Club prepares afternoon tea (for after-school care), and requires parents to provide a packed lunch for their child (Holiday Program).
The snack menu is varied, balanced, nutritious and multicultural based as well as being cost effective. Children are often involved in preparing and cooking snacks as part of the planned activity program.

The staff always sit with the children during meal times to interact with them, provide help where needed and set a good role model for the children.
During after-school care the service will provide a choice of fruit and a range of healthy snacks. Water is freely available to all children at all times. Children in Holiday Program will need to bring their own morning and afternoon tea, lunch and snacks.
Do you do homework after school?
We provide supervision (not tutoring) for homework for the Full Session children. Children must come to us when we call for homework. We do not force / growl children to do homework and we will liaise with parents if children refuse to do their homework. We find this non-threatening method works well.
How does my child get to Kelly Club before and after school?
Before school: Children must be brought to the educator upon arrival and not left to walk themselves into Kelly Club. For their safety and your peace of mind, you are required to sign the attendance sheet when dropping them off in the morning. Terms 1,2 & 3 Preps are delivered to their classrooms. Other students make their own way to school. Staff members sign out the child.
After school: Terms 1,2 & 3 Preps are collected from the classroom. Other students make their own way to Kelly Club. Staff members sign in the child. Parents/guardians sign out the child in the afternoon.
Parents can see on the Xplor Home App, once a child is signed in and out.
Attendance Sheets are also legal documents and a requirement for families to collect Child Care Subsidy (CCS).
What are the staff to pupil ratios?
1:15 is the National Standard required for compliance, however, Kelly Club operates a 2 staff model, then, after 26 children, Kelly Club has a ratio of 1:13. For excursions we operate on a 1:10 ratio.
My child has special needs. Can they attend Kelly Club?
Yes they can attend. Kelly Club has experience in caring for children with special needs. When caring for children with special needs, we operate at ratios of 1:3 or 1:1 depending on the need. Additional costs will apply.
Kelly Club can apply for Inclusion Support Funding. Parents are required to sign a consent form in order for Kelly Club to apply for this support. This covers the cost of a staff member to care for this child.
What is our process for supporting children with additional needs including children who ar deaf or hard of hearing?
The first step is our thorough enrolment process which involves gathering as much information as we can about each child so we can tailor the program to meet the child's needs. We would meet with the child and Caregivers prior to commencing the program. Based on the information provided we would implement what would be required to help the child in the program. This may include applying for inclusion support or other external training for employees, documented plans shared with all staff, reducing the ratio of educators to children and purchasing materials for the child/ren.
Can my child bring personal items?
Kelly Club provides a wide variety of sports equipment, games and toys for all children to play with. We understand that many children would like to bring treasured items to the OSHC, however if items get damaged or lost at Kelly Club it can cause great distress for the child and parent. We request therefore that all personal or valuable items be left at home, particularly expensive electronic items.
